Switching software is one of those decisions inspection business owners overthink until they've been on the new platform for two weeks — and then wonder why they waited so long.
Here's an honest walkthrough of what transitioning from Spectora, ISN, HomeGauge, or any other inspection SaaS to InspectorPrime looks like in practice.
What you need to export before you leave
Every major inspection software platform lets you export your data. Do this first, before you cancel anything. You're looking for:
From your current software:
- Client list (name, email, phone, address)
- Job history (date, address, type, inspector, status)
- Invoices and payment records
- Report templates (usually exported as PDFs)
Most platforms will export these as CSV files. Spectora has an export tool under Settings > Data Export. ISN offers similar functionality. HomeGauge can export clients and jobs through its admin panel.
Important: Download everything before your subscription ends. Once you cancel, some platforms restrict or delete access immediately.
What InspectorPrime setup looks like
Once you've purchased InspectorPrime, here's what the onboarding process involves:

We set up your Airtable workspace. You don't configure anything yourself unless you want to. We build all tables, fields, views, and automations for your purchased modules.

We import your existing data. If you've exported your client list and job history, we migrate that data into your InspectorPrime workspace. For most businesses, this takes 1–2 business days depending on data volume and complexity.

We configure your workflows. We ask about your specific inspection types, report formats, team structure, and how you currently handle scheduling, invoicing, and follow-up. We build around your business — not around a generic template.

We train your team. Before we hand anything over, we run a training session with you and anyone else who will use the system. We don't consider setup complete until your team is comfortable.
The data migration reality
Most client and job data transfers cleanly. A few things to know:
What transfers easily: Client names, emails, phone numbers, addresses, job dates, job types, inspector assignments, invoice amounts, payment statuses.
What takes more work: Complex custom fields from proprietary formats, embedded report templates, platform-specific attachments. We assess these on a case-by-case basis.
What doesn't transfer: Your SaaS platform's proprietary report format. You'll build new report templates in InspectorPrime — which gives you full control over how they look and what they include.
How long does the switch take?
Most transitions are complete within 2–3 weeks, including:
- Data export from your old platform
- InspectorPrime workspace setup (1–2 business days)
- Data migration (1–3 business days depending on volume)
- Team training (1–2 sessions)
- A short parallel-run period where you use both systems
We recommend against hard cutover with zero overlap. Run InspectorPrime for new inspections while you verify all historical data transferred correctly — then cancel your old subscription once you're confident.
What you'll notice immediately
Most clients notice a few things right away:
The system is yours. Every field, every view, every automation — you can see it, modify it, and understand it. There's no black box.
It's more flexible than you expected. Airtable isn't a rigid form — it's a relational database with an intuitive interface. You can add fields, create custom views, and build automations without developer experience.
The Airtable mobile apps work well. iOS and Android apps are included with your Airtable subscription. Inspectors in the field can update records, add photos, and check schedules from their phones.
What about report generation?
This is the question we get most often from inspectors coming from Spectora or HomeGauge. Those platforms have built-in report builders with specific templates.
InspectorPrime handles reporting through Airtable's page designer and integration tools. It works — and it's more customizable than the locked templates in SaaS platforms — but the workflow is different from what you're used to. We cover this thoroughly in training and configure your initial templates before handoff.
If you need specific compliance formats (InterNACHI SOP, CCPIA COMSOP, ASTM E2018), we build those into your templates from the start.
Is it the right move?
For most established inspection businesses, yes. The savings compound every year. The customization pays off the longer you're in business. And the data ownership becomes more valuable as your client database grows.
